To prepare for a European review, a UAE company should present its contracting entity, data, hosting, access and suppliers. Procurement requests must then be matched to applicable obligations. A UAE address alone does not determine the local regime or GDPR applicability.
Identify the contracting entity
State which entity signs and which entities operate the service. UAE scoping needs to distinguish the federal framework from separate regimes such as DIFC and ADGM. Confirm the framework relevant to your establishment. The European dossier should use the same entity names as contracts and invoices.
Document the product being sold
Describe included features, optional integrations and support countries. An international product may have different customer configurations. Prepare a map for the version sold to the European buyer. Identify providers used for that version rather than attaching every tool the company owns.
Organise approval of commitments
Review questionnaires, contractual appendices and technical documents together. Sales teams should know which points are negotiable and which answers require approval. Assign each gap an owner. A clear pack helps the buyer decide but does not replace its risk assessment or applicable-law analysis.
Start with a focused engagement
RCM can scope a GDPR, vendor and transfer document review around a specific contract. Prepare the questionnaire, service diagram and commercial deadline. The proposal defines deliverables and required approvals. Local or sector-specific questions are explicitly scoped rather than covered by a blanket compliance promise.
Illustrative example: a Dubai SaaS offers a European cloud region, but support and an analytics module involve other access. Procurement preparation should describe the complete configuration before answering “data only in Europe”.
Your starting dossier
- Entity and applicable framework
- Configuration of the service sold
- Cloud, support and providers
- Commitments and internal approvals
Describe the situation without submitting customer records, passwords or confidential documents in the initial form.
Practical questions
What should I prepare before contacting RCM?
Prepare: Entity and applicable framework; Configuration of the service sold; Cloud, support and providers; Commitments and internal approvals. Include your deadline and unresolved decisions. A summary is enough for the initial conversation.
Does an introductory call replace the engagement?
No. The introductory conversation clarifies your requirements. A proposal then defines documents reviewed, deliverables, responsibilities and price before work starts. Customer or regulator decisions are not guaranteed.
