A call centre prepares for a client audit by connecting each campaign to the actual data, tools, access and instructions used. Evidence should show agent onboarding, recording management and incident escalation. Prepare redacted examples and a plan for outstanding gaps before the review meeting.
Define the campaign under review
Identify the customer, campaign purpose, supplied lists, CRM, telephony and quality tools. Separate inbound calls, prospecting and support. Request the audit agenda and customer criteria so the right teams can prepare without unnecessarily circulating contact lists.
Demonstrate access operations
Prepare agent onboarding and offboarding workflows, a sample access approval and the export-handling procedure. Check that remote work and supervision match the questionnaire answers. A shared account or local export should be identified and addressed rather than hidden behind a general policy.
Treat recordings as a separate data flow
Document who decides recording, who listens, where files are held and how deletion works. Obtain approved customer instructions on information and retention. Separate quality, training and evidence uses. Downloaded training copies belong in the inventory with appropriate access and retention arrangements.
Prepare responses and commitments
Connect contracts, access locations and providers to the campaign. Allocate answers across operations, IT and management, then rehearse the review. Afterwards, turn customer requests into actions with owners and dates. RCM supports agreed document preparation and follow-up; deep technical testing requires a separate scope.
Illustrative example: a BPO is adding twenty agents to a European campaign. Before the audit it assembles access approvals, confidentiality commitments and recording instructions. An incident exercise then checks who contacts the customer and which information they provide.

Practical questions
What should I prepare before contacting RCM?
Prepare: Campaign brief and customer instructions; Agent access, exports and leavers; Recordings and retention; Evidence pack and corrective actions. Include your deadline and unresolved decisions. A summary is enough for the initial conversation.
Does an introductory call replace the engagement?
No. The introductory conversation clarifies your requirements. A proposal then defines documents reviewed, deliverables, responsibilities and price before work starts. Customer or regulator decisions are not guaranteed.
